Welcome New Employee

Welcome and congratulations!  We are very happy to have you here.  This website is designed with you in mind, you amazing employee, you.  There are some guidelines listed that can help you get started on your journey here at the Carnegie Vincent Library at Lincoln Memorial University and a quick place to find what you need in a flash!
 

 

Library Email

The library email needs to be checked daily (more often if you have time). 
Library email:
  1. Go to Library Inside Story LibGuide and click on the link on the left side library@ email
  2. Enter email username and password (obtain from librarian)
  3. Answer reference/chat questions or forward to appropriate librarian
  4. Forward Amazon shipping and Amazon confirmation emails to Kathy Brunsma
  5. Delete junk mail​

WMS Circulation

Circulation Login
  1. Go to https://lmulibrary.worldcat.org/wms
  2. Enter your LMU username/password (leave out the @lmunet.edu).
  3. Select "Lincoln Memorial University--Carnegie-Vincent Library" from dropdown options.
  4. Select the Circulation tab at the top of the screen.


Tutorials: Go to http://www.oclc.org/support/services/worldshare-management-services.en.html to locate video tutorials for how to use the Worldshare Management System.

Check OUT items to a patron

To ensure accurate circulation stats and to keep track of items' whereabouts, be sure you always check out borrowed items to patrons-including items shelved in course reserves.
  1. Log in to WMS staff interface.
  2. Select the "Circulation" module from the options at the top of the screen.
  3. Select the "Assist Patrons" button in the left-hand panel.
  4. To find a patron account, select an option from the drop-down menu under "Assist Patrons", then enter a term in the search box. i. e. Select "Name" then enter patron's last name.
  5. 5. Click on appropriate patron record (confirm with patron i.d. card).
  6. The patron record should appear.
  7. Scan or type the barcode of the item in the "Enter barcode" search box located in the patron record. Click "Go."
  8. Item title should appear in list of items checked out to patron.
  9. Scan or type barcodes for any additional items.
If desired, you can print a receipt. To do so check the check boxes to the right of the item titles. Click "print" button at the bottom of the screen. Print preview will appear. Again, click "Print." Receipt will print to the default printer for your machine (P008CB is the printer in the computer lab).

Laptop Checkouts

To ensure that all laptops are accounted for, never give a laptop to a patron without first checking it out in the WMS system. To avoid undue charges to patrons,immediately ,
check in returned laptops and place them back in the cart.
  • Laptops are currently set in the circulation system for a 4-hour checkout period.
  • Laptops may be renewed as long as there is not a waiting list.
  • Students must show LMU ID to check out a laptop.
  • Students must use laptops within the library building.

Library New Employee Basics

Below are some procedures that your trainer will go over with you before you get started.
  • Set up WMS account for Circulation module (System's Librarian).
  • Set up PureChat account (See System's Librarian)
  • Set up LibApps (see System's Librarian)
  • See Weebly page for accessing WMS, etc.: http://carnegievincentlibrary.weebly.com
  • Get an e-copy of Monthly Activities Report Word for keeping stats;
  • Watch WMS Circulation training: http://www.oclc.org/support/training/portfolios!librarymanagement/wms.en.html . Must log in (our institution's symbol is TNF, then use the same login as for logging into WMS)
  • Cedar Bluff only: Request keys for library (room 135), library glass office (room 136), and faculty/staff workroom (room 190). Must submit a separate key request form for each. See Alexander Hamilton (no need to channel the original, we have a modern day AH). 
  • Cedar Bluff only: Laptop computer must be assigned to new adjunct (see IS Cedar Bluff)

Check IN items from a patron

To avoid undue charge to patron, be sure to always check in returned items before shelving. 
  1. Log in to WMS staff interface.
  2. Select the "Circulation" module at the top of the screen.
  3. Select the "Check In" button in the left-hand panel.
  4. Scan or type the item barcode in the "Enter barcode" box. Click "Go."
  5. The "Action" column will tell you what to do with the item after it has been checked in.

Renew items

  1. Log in to WMS staff interface.
  2. Select the "Circulation" module from the options at the top of the screen.
  3. Select the "Assist Patrons" button in the left-hand panel.
  4. To find a patron account, select an option from the drop-down menu under "Assist Patrons", then enter a term in the search box. i. e. Select "Name" then enter patron's last name.
  5. The patron record should appear.
  6. Select the check box for each item to be renewed. To renew all the items, you may select the checkbox at the top of the column.
  7. Click the "Renew" button.

When phoning within the LMU network, enter only last four digits of phone number.

Document Delivery

To check for Document Delivery requests:
  1. Go to library's Google Drive/Docs
  2. Log into CVL Google account
  3. Open document entitled "Books and Articles Delivery-Responses"
  4. See if there are any new requests: check catalog to see which campus holds the item
  5. If located at CB, then find item in stacks, check out to student in WMS, and prep book for posting via USPS
  6. Fill in "Notes" spreadsheet column Librarian/Date filled in Google doc
  7. Email a response to student.
  8. If book is located at Harrogate library, Michael McMurray will process.
 

Course Reserves

About Course Reserves:
Course Reserves has two levels of users: course managers and course maintainers. Course managers have more control options. Only course managers can create and delete course reserves lists. (Systems librarian can set up credentials.)

Create a course reserves list

  1. Sign in to your library account in Worldcat Discovery (NOT WMS staff account).
  2. Click the Course Reserves link in the top, right corner of the screen.
  3. If you have administrative credentials to create or manage course reserves, you should see "Course Reserves--Course Manager View" at the top left of your screen.
  4. You can Search course reserves or Create a Course.
  5. If you create a course and add items from our LMU collection, you must edit the shelving location for those items in the WMS system.
