Check-In Print Periodicals

  1. Go to WorldShare Management Services Circulation and select Discover Items.
  2. Search for the periodical by keyword, title, ISSN, author, or OCLC number. Make sure to click on the title that is listed as Periodical and NOT ePeriodical (digital).
  3. Click on Issues in the top right corner. (If Issues does not show up, ask an Admin to update the person's WMS account to include the roles of SERIALS_CLAIM and SERIALS_RECEIVE.)
  4. If date is already shown then click on Receive and check the box so it turns to “yes.”
  5. If date is not shown click the Manage Issues tab, then Add Issue, enter information about the periodical and hit Save.  Go back to the Receive Issues and receive the issue that you just added.

Set Holdings on New Print Periodicals

  1. Go to WorldShare Management Services Circulation and select Discover Items.  Under Scope select All WorldCat and under Index search by the ISSN.  Narrow down the options by selecting English as the language and sort by Library Count (Highest First).
  2. Click on Add Copy and indicate location and call number:
    1. Holding location is Lincoln Memorial University.
    2. Shelving location is Periodicals Collection.
    3. The call number is either Serials Ref Room or Health Sciences Library Periodicals Collection.
    4. Change receipt status from “On Order” to “Currently Received” and click Add Copy.
  3. Click on Issues at the top right side of the screen.  Go to the Manage Issues tab, then Add Issue, enter information about the periodical and hit Save.
  4. Next, click on the Receive Issues tab.  First, click on Start Receiving to indicate the number of copies you receive and the starting issue/date for your subscription.  Select the number of expected copies and the volume and issue to start applying the settings.
  5. The status should change to “Receiving.”  Next, click on Receive, and check the box so it turns to “yes.”
  6. Go back to the Manage Issues tab and click on Edit next to the pencil icon to set up the Publication Pattern.  Select the publication frequency from the dropdown list and then click on Save.
  7. The title has now been added to the catalog.  To add it to the journal finder go to Metadata and click on Collection Manager.
  8. Search for either “LMU Libraries Print Periodicals Collection” or “Health Sciences Library Periodicals Collection.”
  9. Scroll to the bottom and locate the Add a Title dropdown.  Select “Lookup by OCN” and enter the OCLC number.
  10. Information should automatically populate the entry.  Make sure you enter the ISSN and Coverage Dates then click Save.
  11. The title has now been added to journal finder.  Double check to make sure the record is showing up in both.

Set Holdings on New Online Periodicals

  1. If a holding already exists in our catalog for the periodical then make note of the OCLC number under Description.  Skip to step 5.
  2. Go to WorldShare Management Services Circulation and select Discover Items.  Under Scope select All WorldCat and under Index search by the ISSN.  Narrow down the options by selecting English as the language and sort by Library Count (Highest First).
  3. Once you locate the record you want to add make note of the OCLC number and click on View/Edit Metadata.
  4. Once you’re in Record Manager click on Record, WorldCat Holding, and Set.  The title has now been added to the catalog.
  5. Under Collection Manager search for the “LMU Libraries Online Journal Collection” and click on it.
  6. Scroll to the bottom and locate the Add a Title dropdown.  Select “Lookup by OCN” and enter the OCLC number.
  7. Information should automatically populate the entry.  Make sure you enter the Title URL, ISSN, and Coverage Dates then click Save.
  8. The title has now been added to the journal finder.  Double check the link to make sure it has been configured for access.  If not, email hostedezp@oclc.org.
